What data do we process about you?
In the context of its activities, Doorganiser processes the following personal data from you:
- Customer Data: If you enter into an agreement with us for the use of the Doorganiser tool, we collect your first and last name, your company name and VAT number, address details, email address, phone number, and all other data you voluntarily provide to us;
- Usage data: When the Doorganiser tool is used, logins will be created. These logins pertain to usage data that the customer creates and provides;
- Contact data (Website): Through one of the contact forms or if you call or email us, we process your first and last name, your email, your phone number, and any other data you voluntarily disclose;
- Data for demo's: When you request a demo, we collect your first and last name, possibly your company name and VAT number, address details, email address, phone number, and all other data you voluntarily provide;
- Newsletter Data: When you subscribe to our newsletter, we process your email address, first name, last name, and company name;
- Cookies: Each time you browse our website, we may collect various personal data about you based on cookies and similar technologies, including your IP address and browsing behavior. More information about how we use cookies can be found in Article 7.
What do we use your personal data for?
We use your personal data exclusively for:
- Customer data: To provide the requested services and handle billing and accounting, with the legal basis being the performance of the agreement or our legal accounting obligations;
- Usage data: To grant access to the Doorganiser tool;
- Contact data: To respond to the question you asked, with the legal basis being the provision of a service you requested;
- Data for demo's: To facilitate the demo booking;
- Contact data, Customer data, and Newsletter data: For direct marketing, newsletters, actions, and promotions by Doorganiser itself, with the legal basis being our legitimate interest concerning existing customers, or your explicit, prior consent if you are not yet a customer of Doorganiser. You can indicate at any time that you no longer wish to receive our newsletters through the opt-out option in our newsletters or by contacting us directly via email or phone;
- Cookies: To maintain and improve our website and to include personal data in anonymous statistics, from which the identity of specific individuals or companies cannot be traced, with the legal basis being your explicit, prior consent upon your first visit to our website.
Who receives your personal data?
We do not share your personal data with third parties for commercial reasons, except with your prior consent.
If necessary for internal reorganization or transfer of activities, we may pass on your data to new entities within Doorganiser or to third parties who may ensure the continuity of our services. We will always inform you in advance to the extent possible, but you understand that this may not be technically or commercially feasible under all circumstances.
Doorganiser may appoint external service providers to perform specific services. These service providers will process data on our behalf and according to our instructions (as processors).
Doorganiser will carefully select processors in accordance with applicable data protection laws. Additionally, Doorganiser will ensure that the processing is carried out in accordance with the provisions of any written contract and with legal regulations on data processing.
We share your data for the following reasons:
- With Odoo for the creation, maintenance, and use of the website;
- With Calendly for scheduling a demo booking;
- With MailerLite for sending a newsletter;
- Online and usage analysis;
- For account verification;
- In the context of member services and processing of inquiries; and
- In the context of trust and security of our services (e.g., fraud prevention).
The processors we appoint may have access to your personal data under certain circumstances, but only for the purposes of the requested data processing.
In rare cases, we may be required to disclose personal data based on a court order or to comply with other mandatory laws or regulations. We will try to inform you in advance to the best of our ability, unless this is not legally permissible.
We strive to use European suppliers as much as possible, but if we need to use non-European third parties, we ensure that your data is as secure outside Europe as it is in Europe. For this purpose, we conclude Standard Contractual Clauses with these partners and provide additional safeguards where necessary.
How long do we keep your personal data?
We keep your personal data as long as necessary for the purposes of processing, as detailed below.
- Customer data: We keep your customer data for a maximum of 2 years after the end of the collaboration;
- Usage data: The data stored for the use of the Doorganiser Software is kept for up to 6 months after deletion;
- Contact data: The data you provide when registering on our website, via one of the contact forms, or when you call or email us, is kept for up to 2 years after the last contact;
- Data for demo's: The data you provide when requesting a demo booking is kept for up to 2 years;
- Billing data: For legal reasons, we must keep billing data for 10 years from the calendar year following the invoice date;
- Newsletter data: The data you provide when subscribing to our newsletter is kept as long as you show interest, up to a maximum of 1 year after unsubscribing.
- Cookies: The retention periods of personal data collected through cookies can be found in Article 7.
If your personal data is necessary for conducting potential legal proceedings, it may be processed for longer than the aforementioned period.
Your rights
You have the right to access your personal data at any time and to know how we use it or to request a copy. You also have the right to request the correction or (in some cases) deletion of your data. You may also request to limit the processing of your personal data in several cases listed in the GDPR. You have the right to object to the processing of your personal data if you have serious and legitimate reasons that outweigh our need to process your data, or to withdraw a previously given consent. You always have the right to object to the use of personal data for direct marketing purposes, even without providing a reason. You have the right to request your personal data in a digital and readable format and/or to transfer it to another controller of your choice.

Finally, you have the right to file a complaint with the Belgian Data Protection Authority if we have not appropriately responded to a request based on one of the rights mentioned above within 30 days:

How do we secure your personal data?
We have taken appropriate technical and organizational measures to ensure the security of your personal data. For example, our server and software tools are secured with a username and password, access restrictions apply, and we use encryption where possible. Furthermore, we provide training to our staff on data protection, have internal guidelines on data security, and take appropriate security measures in the form of up-to-date antivirus and firewall protection.
In no event can Doorganiser be held liable for any direct or indirect damage resulting from the wrongful or unlawful use of personal data by a third party.
